Sanctuary Hire Agreement
Terms + Conditions.

Thanks for your interest in booking Sanctuary (previously St Aidan’s Uniting Church) at 17 Brockman Street, Narrabundah.​

By paying your hire fee and bond, you acknowledge that you have read and agree to the following Terms + Conditions. The following conditions are essential to ensuring your event runs smoothly.

  • The Hirer agrees to pay all charges, additional hours onsite, associated costs and any damages incurred by you ‘The Hirer’ and/or by your guests whilst occupying the premises. These may be taken from your bond.

  • Rise Events will not accept bookings sight unseen. It is a requirement that the venue is first toured before a booking is placed and accepted.

  • It is at the discretion of Rise Events whether an onsite Sanctuary Host is required for your event. If a Host is required, an additional charge of $80 per hour of your event booking will be added to your proposal.

VENUE DETAILS + HIRE ITEMS

The Rise Room

  • Timber hard wood floors and floor-to-ceiling windows with white curtains, piano (can not be moved).

  • The Rise Room Floor Size
    Floor 12 x 8 metres | Stage - 8 x 2.5 metres | Floor to ceiling - 3.5 metres

  • 20 x replica bentwood chairs available for hire at $9 / chair per event booking.

The Studio

  • The Studio Room Floor Size
    Floor - 9 x 3.5 metres

Kitchen

  • Access to kitchen equipment / wares is available at $150.00 per booking. Including 50 water glasses + 50 champagne flutes + 2 hot water urns + 8 water jugs + 1 microwave + 1 kettle + 1 fridge + 1 small bench top oven.

Parking

  • Off street parking is available with side-door access.

Bathrooms

  • 2 bathrooms (access via stairs), equipped with soaps, hand towels and ethically sourced toilet paper.

Access

  • The first-floor bathrooms are accessible via stairs only.

  • There is no lift on site.

Catering

  • Rise Events can arrange catering for your event. Please contact us for a detailed proposal with one of our preferred suppliers.

  • No food is permitted to be brought onto the property without prior approval by Rise Events.

Deliveries

  • ​Rise Events may use the space to collect deliveries however will be non-invasive where possible.

Heating and Cooling

  • Sanctuary has ceiling fans and air-conditioning so please be aware of this upon booking.

Furniture

  • Rise Events can arrange additional chairs, lounges, tables and props at an additional cost.

Other

  • Sub-letting or transfer of booking, or part thereof, is not allowed under any circumstances.

AVAILABILITY TIMES

Sanctuary is available for hire Monday to Sunday.

  • All booking sessions must include your set-up and pack-down times. You will be charged for additional time onsite outside of your booking time.

  • Please note that the smart door lock will notify Rise Management of your departure and any extra time past the booking time will be deducted from your bond. Additional time is charged at $175 per hour or part thereof.

  • Hours of hire are between 8am and 10pm. If an event is held in the evening the venue must be secure and cleaned before 10pm. All guests must be off the property by 10pm and thank you for respecting our neighbours and keeping noise to a minimum.

VENUE ACCESS & INFORMATION PACK

  • Access to the venue is limited to the hire hours, this includes storing property and equipment. This is particularly important to note, as the space may be hired to others immediately before or after the hire.

  • Delivery and collection of goods must occur during the booked and prepaid hours of hire. Rise Events will not assume responsibility for any delivery or collection of your goods and equipment.

  • Key codes may not be issued unless the hire charges are paid in full.

VENUE CARE, SAFETY & SECURITY

Use and care of venue and equipment.

  • The venue and all equipment are to be left cleaned and undamaged and returned to their designated storage place/s. If this is not adhered to, a cleaning fee of minimum $350 will be deducted from your bond. We will provide you with basic cleaning equipment including broom, bucket, mop, wipes and disinfectant spray to wipe surfaces and sweep and mop floors.

  • We understand that breakages of glassware or crockery might happen and we would appreciate you giving us the heads up if this occurs during your event. However, in the case where the venue or Rise Events property is damaged or the venue is left in an unsatisfactory state, you will be liable for any extra costs incurred to clean or repair and will be invoiced accordingly. Photographs of what we deem to be unreasonable will be taken and supplied to the hirer should this occur.

Environment Responsibility

  • ​Rise Events is committed to minimising environmental impacts through water conservation, careful energy usage and appropriate waste minimisation and recycling practices. You are requested to contribute to these practices.

Smoking

  • ​Smoking and the use of an e-cigarette, is not permitted inside or on the grounds of any part of Sanctuary venue (including the toilets).

Health and Safety

  • You are responsible for the adherence to general Work Health Safety standards, including appropriate supervision of children at all times.

Security of Sanctuary

  • It is the your responsibility, at all times, to ensure that the premises remain secure throughout the period of hire, particularly when leaving the venue, even for a short period.

  • You are not therefore, permitted to leave the doors to a venue unlocked and unattended at any time throughout the period of hire. Sanctuary is to be secured before departure.

  • You must ensure that all external windows and doors are secured on departure.

Personal Property

  • You are required to provide all your own resources, including stationery, signage and any other resources associated with the successful management of the function or event.

  • Rise Events can arrange catering for your function. Please contact us for a proposal. No food is permitted to be brought onto the property without approval by Rise Events.

  • You are responsible for checking personal electrical items to ensure any privately owned electrical equipment has suitable electrical surge and overload protection before plugging in.

  • Equipment which may cause damage to the facility, is not permitted inside or outside Sanctuary, this includes but not limited to: smoke machines, adhesive tape, nails, tacks, sparklers. You are not permitted to hang any items from the beams without prior approval by Rise Events.

  • All personal property must be removed from the venue at the completion hire period. Rise Events takes no responsibility for personal property used or left on venue premises.

Rubbish Removal

  • You are responsible for the general removal and disposal of rubbish from the venue, including contents the kitchen and bathroom bins. If there is rubbish to be removed you will be passed the commercial cleaning fees.

Alcohol

  • Alcohol consumption is to be approved by Rise Events, and if permission is granted it must be in accordance with the Responsible Service of Alcohol. If you wish to BYO alcohol onto the property the event organiser must provide a copy of the Responsible Service of Alcohol Certificate and name of the holder.

  • Security guards may be required to be present at any event/function/activity where alcohol is being served, and are to be organised and paid for by you.

EMERGENCIES & EVACUATION PROCEDURES

It is the your responsibility to abide by these procedures and to ensure:

  • You are familiar with the exits prior to commencement of your event/function/activity.

  • Seek clarification if you are unsure.

  • Inform your guests of these procedures.

  • Observe the locations of, and the instructions on, extinguishers and fire blankets, prior to an event/function/activity.

  • You and your guests must not tamper with any device or system designed for use in an emergency such as fire extinguishers or fire hose reels.

  • Doors must be kept clear and remain accessible at all times throughout the event/function/activity.

  • Advise Rise Events if fire extinguishers and/or any other emergency equipment have been used in any way.

PRIVACY & PHOTOGRAPHY

Permission is hereby granted to Rise Events to use any images created under this contract for professional samples, displays, internet website pages, advertising, exhibitions and any other marketing purpose.

AFTER HOURS CONTACT

For after hours contact in the event of an emergency please contact Rise Events on 0410 585 175. Emergencies may include property or building damage which requires immediate repairs (eg. window broken or plumbing issue and needs immediate repairs to be arranged).

SECURING YOUR BOOKING

  • Upon receipt of your booking request, a Rise Events team member will check your booking time and date and be in touch to confirm or discuss amendments if necessary.

  • Rise Events reserves the right to decline a request for the hire of any of the spaces at Sanctuary.

  • A deposit may be required to secure your booking.

  • From your online quote you can accept, decline, comment or print. Once accepted, an invoice will be generated and you can arrange payment. By paying your fee and your bond, you acknowledge that you have read and agree to the Terms + Conditions as stated on our website below.

Public Liability Insurance for Events

POSTPONEMENTS

  • Rise Events recognises that on the rare occasion a booking will need to be postponed.

  • Postponements can be made up to 30 days before the booking date, free of charge.

  • Please note while Rise Events has empathy for every circumstance, we cannot guarantee availability on your chosen new date. In the event of date unavailability, please refer to our cancellation policy (below).

CANCELLATIONS

  • Cancellations made 30+ days prior to your hire date will be provided with a 90% refund of monies paid and a $100 administration fee will be charged.

  • Cancellations made between 8 - 30 days prior to your hire date will be provided with a 50% refund of monies paid and a $100 administration fee will be charged.

  • Cancellations made 7 or fewer days prior to your hire date are committed to the total spend and no refunds can be issued.

  • If Rise Events is to cancel a booking due to unforeseen circumstances a full refund will be issued to the client.

PANDEMICS, NATURAL DISASTERS & DEATHS

Our sympathy goes out to all clients affected by COVID-19.

  • Bookings affected by pandemics, natural disasters or death may request date deferrals or you may place your bookings on hold.

  • Under the above circumstances, date deferrals and holds may only be done once. Postponements or holds can only be made more than 30 days prior to the hire date.

  • Postponements or holds within 30 days from the hire date are subject to our standard postponement and cancellation terms (see above).

  • New date bookings must be made, booked, and paid for within 12 months from original booked date.

COVID-19 RESTRICTIONS ON GATHERINGS

  • You accept that it is the your responsibility to comply with current ACT Government COVID-19 rules and regulations regarding gatherings.

  • You must practice good hygiene. Rise Events will provide a hand sanitiser on view for people to access. It is important that you and your guests use the bathrooms onsite to wash hands.

  • You are under current regulations required to wear a mask whilst at the venue whilst not eating or drinking and you will need to practice social distancing - so that means making sure that there is a distance between you and the visitors.

  • It is your responsibility to research and cohere to the current ACT Government rules and regulations on gatherings and social distancing.​
